Criteria for planning and compiling reports

When planning and compiling reports, the writer needs to remember the following key points:

     Understand the function of the report. (What the report is about and what the reader wants to know.)
     Understand the purpose of the report. (Why the reader wants the information and what is to be done with the information.)
     Collect the necessary information systematically.
     Sort through the information collected and select the relevant facts
     Arrange the information logically
     Edit the report critically
     Complete the report within the designated time

To communicate effectively, the report writer needs to ask the following important questions:

    Who is going to read the report
     Why will they be reading it
     What do the readers know about the subject
     How can barriers to comprehension be overcome
    When and where will it be used?
